Supervision Menu

The only roles that have access to the Organization menu are the System Owners, Operational Administrators and Supervisors.

Set Qualification Dates - calls up the Set Qualification Dates dialog.  This setting is available when an entire Organization Unit is selected, or when an individual Employee is selected (while in the Assigned Learning tab).  The higher the level that is selected, the more that can be set as complete/ cleared at once.  Please note:  this is considered setting a date manually, with no corresponding documentation to back up your date.  Once the date has been set, you may wish to go to the Task History for each Employee Task object, in order to add a comment to this record.

Set Course Marks - calls up the Set Course Marks dialog.  This setting is available when an entire Organization Unit is selected, or when an individual Employee is selected (while in the Organization Manager tree).  The resultant detail in the Task History is attributed to completion by reason of a course.

Set as Primary Process - when a Process is highlighted in the Assigned Learning tab for the Organization Unit or the Employee, you can choose to set the selected Process as the Primary Process.  This means that this Process will be the first that is opened on the right-side of the screen, and will be attributed the i_primary_process.png (instead of the i_process2.png icon)

Set Priority - the priority of a Task is set per employee.  In other words, it is not a global task property to be high priority or normal priority.  However, for ease of use, TRACCESS allows System Owners, Operational Administrators and Supervisors to set task priority on entire Organization Units or individual Employees at the same time.  This does not mean that if a Supervisor sets a Task as High Priority while having the entire Org Unit selected that the priority is now tagged to the Org Unit.  It is actually setting the Task as high priority for each member of the Org Unit that is present at that time.  If another employee then joins this Organization Unit, the supervisor will then have to remember to reset the specific task as high priority for that one person - as desired.

Open Capability Assessment - the completion of Capability Assessments can only be carried out on a single task for a single employee at one time.  This allows the Supervisor to provide any specific notes or comments on the person's performance, and these notes, dates, and sign off names are stored in the database with the task.  The only time that these completed Capability Assessments would ever disappear is when either the Employee or the Task is deleted from the database.

Generate Paper Knowledge Assessment - allows you to print out a hard copy of the knowledge assessment. (Supervisors must be given permission to use this feature.)

View Knowledge Assessment - allows you to view a preview of the Knowledge Assessment just as the learner would see it. You may complete the test, but no results will be recorded.

View Resources - when selected, a dialog box appears displaying a Resources tree with all the resources available for a task. When you double-click on the resource and click View, the resource will appear in a new window.

View Coaching Report - this option is only available when using ASSESS (Perception QuestionMark).  This is a particular report that is generated after a Supervisor/ Operational Administrator completes an ASSESS Capability Assessment for a Learner.

View Certificate - allows you to view a completed task's certificate. (The task must have a certificate enabled.)

View SCORM Resource - allows the Supervisor/ Operational Administrator to view the SCORM Resource that is attached to the Employee/ Task Object.

Reset SCORM Progress - resets a learner's tracked progress in a SCORM module.

Edit Schedule - when an individual Employee is selected, the Supervisor/ Operational Administrator can modify the Employee's Schedule.

Add Activity to Learner - when an individual is selected, this option calls up an Activity dialog, that will subsequently be added to the Employee's Schedule.

Add Activity for Learning - when a Process Set, Process or Task is selected for an individual Employee, the Supervisor/ Operational Administrator can choose to set this learning as an Activity for this Learner.

Send Feedback - When a Task is selected for a Learner or an entire Organization Unit, the Supervisor/ Operational Administrator may choose to send feedback on this task directly to someone responsible for managing the content of this task.  The recipient box that appears will include Task Owners, Subject Matter Experts, or in the event that these do not exist, this list will include the System Owners.

View Task History - When a Task is selected for a Learner, the Supervisor/ Operational Administrator is able to view their Task History.  The Task History dialog displays all of the status changes that have occurred for the Learner's lifetime on the Task.

Show - allows a Supervisor/ Operational Administrator to show a Task that had been previously-hidden for an Organization Unit or an Employe.  This is done in efforts to create a custom view for the Org Unit/ Learner, and can only be accessed in the Org Unit View tab or Learner View tab of the Organization Manager.

Hide - allows a Supervisor/ Operational Administrator to hide a Task for an Organization Unit or an Employee.  This is done in efforts to create a custom view for the Org Unit/ Learner, and can only be access in the Org Unit View tab or Learner View tab of the Organization Manager.

Direct Assignments

Configure Direct Assignments - redirects you the Learners Views tab where you can create and assign Direct Assignments.

New Sub Process - creates a new sub process in Direct Assignments.

Add/Remove Tasks - allows you to add or remove tasks to a selected sub process.

Add/Remove Tasks with Levels - allows you to add or remove tasks with levels to a selected sub process.
