Using Task Certificates

Overview

The Certificate feature allows Learners and managers to view a document that certifies a completed Task. The System Owner decides which Tasks include a certificate—these are usually Tasks of significant importance. A Task can include more than one certificate template to choose from. Once a Task has been completed, the certificate can be viewed, saved as an electronic file, or printed out to be displayed or archived from the Crystal Reports Viewer. Tasks that have certificates can be searched for and reported on, even by a specific certificate template.

Below are instructions on how to view, export, and print a certificate as a Learner, Supervisor, or Operational Administrator. A System Owner (or an Operational Administrator with permissions) is responsible for managing certificate templates.

Viewing a Certificate as a Learner

You can see if a Task has a certificate by right-clicking on a Task from the My Job tree or from the context view. If you see View Certificate in the menu, the Task includes a certificate:

The Certificate button will also be active in the ribbon menu:

You can also see if a Task has a certificate by clicking on a Task in the My Job tree or double-clicking a Task in the context view. This will reveal a toolbar in the lower-right corner of the context view. If the Task has a certificate, a View Certificate icon appears. Click on the icon to view the certificate. This icon is grayed out if the Task has not been completed. This icon does not appear if there is no certificate.

Note: All of these View Certificate options are grayed out until a Task is completed.

Click on one of these options to view your certificate. If there is only one certificate template option, your certificate, displaying your name, the Task title, and date of completion appears in the Crystal Reports Viewer. From here you can export or print your certificate.

Multiple Certificate Templates

If there are more than one certificate template options, the Select Certificate dialog appears.

Use the dropdown menu to choose a certificate.

Click OK. Your certificate will appear in the Crystal Reports Viewer. From here you can export or print your certificate.

Viewing a Certificate as a Supervisor or Operational Administrator

A Supervisor or Operational Administrator can view an Employee's certificate by right-clicking on a Task in the Assigned Learning Context View. A menu appears; if the task has a certificate, the View Certificate option is available in the right-click menu, and the Certificate button is active in the ribbon. These options are grayed out if the Employee has not completed the Task.

Click on one of the View Certificate options to view the certificate. If the Task includes just one certificate template, the certificate will be displayed. If the Task includes more than one certificate template, the Select Certificate dialog appears; choose one of the templates from the dropdown menu and click OK. The Employee's certificate is displayed in the Crystal Reports Viewer. From here it can be exported or printed. If there is more than one certificate, the Select Certificate dialog appears. Choose the certificate template you'd like to use, and then click OK. The certificate is displayed in the Crystal Reports Viewer.

Exporting and Printing a Certificate (Learner and Manager)

Task certificates are viewed in the Crystal Reports Viewer and can be exported or printed.

Click on the Export icon to save a Certificate in a variety of formats.

Click on the Print icon to print a Certificate (useful for display or archival purposes).

 

Note: Only a System Owner can edit a Certificate Template.
