To delete historical records
  1. Select Maintenance/ Historical Records Maintenance from the main menu.

The Historical Records Maintenance dialog appears. From here, you can select to delete Activity, Qualification or Data Change History information.

  1. Click the Date button next to the Activity/ Qualification/ or Data Change fields.

A Calendar dialog appears  

The dates that appear in the Calendar dialogs are directly related to what value is set in the History Tracking dialog (select Tools/ System Options/ History Tracking and click Edit).

The Activity value by default is 12 months, although this can be shortened.  When looking at the Activity Calendar, the first date that appears for records to be deleted is XX months prior to the current date.  Therefore, if the date was currently Jan 1, 2009, then the date that would show up in the Calendar dialog (with a setting of 12 months) would be Jan 1, 2008.

The Qualification value by default is 36 months.  Therefore, if the date was currently Jan 1, 2009, then the date that would show up in the Calendar dialog (with a setting of 36 months) would be Jan 1, 2006.  Please Note:  several companies have decided to NEVER delete qualification history.  

The Data Change History information does not come with a built in protection time.  In other words, as soon as any Data Changes are completed, they can be removed from the database.  If the date was currently Jan 1, 2009, then the date that would show up in the Calendar would be Jan 1, 2009.

  1. Once a date is selected, click Delete.

A Confirm Deletion dialog appears  

  1. Type the word delete, and click Confirm.

A TRACCESS Information dialog appears to indicate the number of records that have been deleted from the database. Click OK.
