Multiple Tasks Auto-Complete a Task

Overview

The Multiple Tasks Auto-Complete a Task feature allows an SME to set up a group of Tasks that will auto-complete a single Task once all of the grouped Tasks are complete. This feature is especially useful when importing new learning into the system. For example, your SME can set up a group of existing Tasks to auto-complete newly imported Tasks that are equivalent in competency. This can prevent employees from spending time on learning they are already competent in. Note: This feature should not be confused with the Tasks to Auto-Complete feature, which is where one Task can auto-complete multiple Tasks.

This feature works by selecting a Task, and then selecting multiple Tasks that will automatically complete the selected Task when all of the grouped Tasks have been completed. This is depicted in the image below.

When the Task is auto-completed, it is recorded in the Task History dialog under Signature in the Meaning field; no grade will be set for a Knowledge or Capability assessment. You can also see which Tasks auto-completed the Task in the Auto-Completed By tab in the Task History dialog.

Using Multiple Tasks Auto-Complete a Task

To access the this feature, click on a Task in the Processes manager, and then click on the Relationships tab in the context view, located on the left-side of your screen. You will use the features highlighted in the image below for Multiple Tasks Auto-Complete a Task.

Tasks to Auto-Complete (lower left-hand box) - If the selected Task is part of a group of Tasks that auto-completes a Task, this box displays the Task that the group of Tasks auto-completes.

Auto-Completed when all of these are completed - When all the Tasks in this box are completed, they will auto-complete the selected Task.

Add/Remove... - Click this button to bring up a dialog that allows you to add and remove from the group of Tasks that will auto-complete the selected Task.

Note: The Provides Knowledge and Provides Capability checkboxes apply to both the Tasks to Auto-Complete and the Multiple Tasks Auto-Complete a Task features. An SME can simply double-click on one of the grouped Tasks and then can edit the Provides Knowledge/Provides Capability components.

Adding and Removing Multiple Tasks Auto-Complete a Task

To add or remove a group of Tasks that auto-complete a Task, click on the Add/Remove... button; a dialog box appears. Select a Task from the Parent Tasks list on the left, and click the >> button. The Task will then appear in the Parent Auto-Completed by Tasks list on the right.

Tip: Use the Search field to quickly locate a particular Task. Type in any number of letters or keywords, and the Tasks list will automatically be refined. Click the "X" icon to clear the Search field.

To remove a Task, select a Task from the Parent Auto-Completed by Tasks list and click the << button. You can add or remove as many Tasks as needed. Click OK to save your changes.
