About the Org Unit and Learner Views Report

Examples

The Org Unit and Learner Views report provides an instant look at learning customizations. The report shows a cross tab of people and Org Units versus Tasks. The visibility (hidden or shown) and where a View exists is shown for each Task. You can choose to show any number of Org Unit Views and Learner Views along with your choice of learning. The report opens in a color-coded Excel spreadsheet, so you can quickly identify hidden and shown Tasks.

At the top of the report are the Processes, Sub Processes, and Tasks displayed in columns:

Process columns appear as yellow, since no learning can be adjusted at this level.

Sub Process names are underlined, and its columns appear as yellow, since no learning can be adjusted at this level.

Tasks appear as Hidden, Shown, or Not Applicable (not assigned).

Along the left side of the report are the Org. Units and Learners:

Org. Unit names are underlined and appear as blue.

Learner names appear with a green background.

In the center area of the report are the Org. Unit Views and Learner Views for the learning that is included in the report:

Hidden Tasks appear as gray.

Shown Tasks appear as white.

Not Applicable Tasks appear black. This indicates that the learning is not assigned to the Org. Unit and/or Learner.

View Exists appears as a black dot. This indicates that a View has been set at this level.

Examples

Hidden/View Exists for an Org Unit & Shown/View Exists for a Learner

In this example, Tasks are hidden (gray background) for the Universal Enterprises Org Unit. There is also a dot indicating that the View was set at this level. Below, there are four Tasks with a white background (shown) for the Learner, Barry Albrecht. There is a dot at this level too, simply indicating that a View was also set at the Learner level. The dot will still appear at both levels no matter which View was set first.  

Hidden and View Exists for an Org Unit and a Learner

In this example, a Task is hidden from the Universal Enterprises Org Unit, so it appears gray with a dot. There is another dot for the same Task for Many Anderson. How can a View appear twice for a Task that is hidden for both the Org Unit and the Learner? This occurs when a Task was originally shown for an Org Unit, then hidden from a Learner, and then hidden for the Org Unit. In this case, both boxes will be gray and show a View Exists dot. The only way to remove the dot from appearing for the Learner is to show the Task and then hide it again.
