Managing Questions


To access the Question Bank select the Question Bank manager from the Home view or select Home > Question Bank from the Dashboard view. To learn more about the Question Bank and the Question Manager tree's items and functions, visit About the Question Bank.

Creating Questions in the Question Bank

To begin creating questions in the Question Bank, you must first create a Question Set Organizer and a Question Set. Working from the Question Set, creating questions in the Question Bank works the same as creating questions from a selected Knowledge Assessment in the Processes manager.

To create Questions in the Question Bank:

  1. Right click on the top "Question Manager" node or an existing Question Set Organizer and select New Question Set Organizer.

  2. (Optional) Type in a unique name for your Question Set Organizer. You can rename this at any time.

  3. Right click on the Question Set Organizer and select New Question Set.

  4. (Optional) Type in a unique name for your Question Set. You can rename this at any time.

  5. (Optional) Right click on Management and select Add/Remove Employees.

The Add/Remove Management dialog appears. Assign Employees as SMEs to the Question Set Organizer. You can add/remove SMEs at any time.

  1. Select the Question Set if it is not already selected.

The context view now changes and displays the options for creating questions for the currently selected Question Set.

  1. Right click on the Question Set in the context view (located underneath the Question Filter options) and select New Question. You will now see the same options as you would when you select a Knowledge Assessment in the Processes manager, and creating question works in the same way.

  2. Select the Question Set if it is not already selected. Select Yes from the Online dropdown menu, located at the bottom-right of the Question Summary. The Question Set must be online before you can put a Knowledge Assessment using this Question Set online.

Once you have created your question(s) and put the Question Set online, you can assign the Question Set to a Knowledge Assessment(s).

Changing Permission Sets

All Question Set Organizers use the system's default SME permission set; however, each Organizer can have its own permission set. The permission set assigned will affect the SMEs assigned to the Organizer. It will not affect any of the child Organizers; each one is unique in its permission settings.

To change a Question Set Organizer's Permission Set:

  1. Right click on a Question Set Organizer. The Change Permission Sets (for the currently selected Organizer) appears.

  2. Uncheck the Inherit Permissions from Parent box.

  3. Select a new permission set from the Use Permission Set dropdown menu. You may only see the system's default SME role permission set, but you can create a custom SME permission set in Role Permission Sets. Once this is created, this permission will appear in the Use Permission Set dropdown menu.

  4. (Optional) Click on the Clear Child Permission Sets button to clear any permission set changes on Question Set Organizers below this one.

  5. Click OK.

The permission set for this Question Set Organizer has now been changed.

Assigning SMEs (Management)

SMEs can be assigned to parent and child Question Set Organizers. The assignment is hierarchial, so SMEs can modify any of their child Organizers. All Employees, no matter what their role is in the system, can be assigned as an SME. Once they are assigned, they automatically become an SME for the Question Set Organizer.

To assign SME(s) to a Question Set Organizer:

  1. Right click on the Question Set Organizer's Management node and select Add/Remove Employees. The Add/Remove Management dialog appears.

  2. Select Employees from the Unassigned Employees box and click the >> button.

You can also unassign Employees by selecting them from the Assigned Employees box and clicking the << button.

  1. Click OK.

The assigned Employees are now SMEs for the selected Organizer and all of its child Organizers.

Deleting and Renaming Question Set Organizers and Question Sets

You can delete and rename Question Set Organizers and Question Sets at any time. Simply right click on the object in the Question Manager tree, and then Select Delete or Rename. When you select these objects you will also notice the available options in the ribbon menu.

To make your questions easier to manage and for better organization, it is recommended that you give all your Organizers and Sets unique and specific names. This will also help adding Question sets to Knowledge Assessments a quicker and easier process.
