The Search and Replace feature allows management roles to search for multiple objects and replace entire property values or a portion of a property value of inline-edit properties. For example, you could change the domain of a thousand email addresses all at once.
The properties each management role can edit is dependant on the properties they have access to. For example, a Supervisor could search & replace properties for the people and processes they manage; a System Owner can change properties for any object in the system.
This function is broken down into four steps:
Searching for objects
Choosing objects
Choosing a property
Replacing property values
The first step to using the Search and Replace feature is to search for objects through a regular search in the Search dialog accessed by selecting Search from the Quick Access Bar. Detailed instructions on conducting a search and what you can search for is explained on the Search page.
Once you have conducted a search from the Search dialog, you can select the objects you want to edit from the Search Results list. The Access column, represented by an "A" indicates whether the object is writable (W) or read-only (R). The read-only objects are not editable.
There are two ways to select multiple objects from the search results list:
Select within a range by holding down <Shift> and left-clicking on the first object you want to include, then click on the last object you want to include. All objects in between will be selected. You can continue holding <Shift>, while scrolling down the list with the scrollbar, then choosing the last object to include.
Select multiple objects in different places in the list by holding down <Ctrl> and left-clicking on the objects you want to include. Deselect an object by clicking on it again (while holding <Ctrl>). You can continue to hold <Ctrl>, and scroll down the list, while clicking on the objects to include.
With your objects selected, click Edit (this button stays inactive until at least one object is selected). The Multi-Object Property Editor appears.
The Multi-Object Property Editor lists the properties for the objects you selected. you Listed are the properties for the objects you selected. These properties can appear in several ways:
Greyed out - The property is not editable.
Blank (no value) - At least one of the objects you selected has a different value than the rest of the objects. Changing the value will set them all to the same value.
Value - All the objects have the same value.
Click on an editable property (appears in black), then click on the Replace Text button (the Replace Text button will only become active when you choose an editable property).
The Replace Text dialog appears listing the property for all the object search results you selected in the Search dialog. Now you can replace any portion of the property value that you want. For multilingual properties a language selection dropdown appears over the top-right edge of the value list. Selecting a language from the list displays the property values for that language.
To search and replace text, first enter the text you want to replace in the Find field and click the Find button. Your search results are then highlighted in blue in the After column. Next, enter the text you want to replace the highlighted text with in the Replace field and click the Replace button. The Before and After columns will display your previous and new changes; all the changed objects are highlighted in green in the Name column. If there is an error, the object name is highlighted in yellow—the cause is indicated in the Errors column. An error can occur, for example, if the Property value must contain numbers, but you replace it with letters.
Tip: Column headers can be clicked to sort by values in that column. Clicking the Name column toggles between sorting alphabetically and sorting by status (colour): green, yellow, white. All other columns toggle between ascending/descending alphabetical sorting.
A. Find Button/Field - Enter the text you want to find/replace in the Find field, then click the Find button to highlight your results, which appear in the After column.
B. Replace Button/Field - Enter the text you want to use to replace in the Replace field, then click the Replace button.
C. Ignore Case - Check this box to ignore case-sensitivity.
D. Use Regular Expression - Check this box to use regular expressions.
E. Language Dropdown Menu - Select a language to display the list of properties in that language. (This dropdown menu will display for mutilingual properties only.)
F. Name Column - Displays the object name.
G. Before - Displays the property before changes are made.
H. Errors - Displays any errors that have occurred after changes are made.
I. After - Displays the property after changes are made.
J. Edit - Allows you to change just one line in your search results. First select a line, then click the Edit button. (Alternatively, you can also press <Enter> or <Space> on your keyboard.
K. Copy - Copies highlighted text. To paste it, press <Ctrl + v>. Note: When one or more rows are selected, all the rows and their columns are copied, along with the column headers with all values delimited by tabs. This can be pasted (with <Ctrl +v>) into Excel or a text document.
I. Apply - Applies and saves your changes. See note below.
Note: Changes are not committed until OK or Apply are selected (error entries are not committed). If the Replace Text dialog was launched from the multi-object property editor, instead of the Properties window, then the changes are not committed until OK is selected on that editor.
